Parts Incorporated Africa is searching for an Admin Clerk to join the branch in Riverhorse. The purpose of this position is to perform daily administration of the branch.
Qualifications & Experience:
Education equivalent to the completion of Grade 12.
A minimum of five (3) years' experience in typing and general office practice, Advanced Excel Skills
Organised A trustworthy and reliable individual
Must be willing and able to work independently as well as part of a team.
A quick learner and willing to bring discrepancies to light.
Good time keeping track record & ability to work under pressure.
Ability to liaise with warehouse staff
Computer literate (Word, Excel, Outlook, etc)
Knowledge of Biometric System is an advantage
Good communication skills
Clear Criminal record
Duties & Responsibilities:
Check and sort freight invoices & waybills/pods according to date order when they arrive (Kino’s & Interlink etc.). Then check with corresponding statements and submit for payment at the end of each month.
Handle leave and sick leave application forms in preparation for the monthly payroll.
Daily Utilise Bio metric system Apply T/a rules on bio metric system- odd clocking and managing breaks.
Compile overtime reports for those who worked overtime the day before
Attends required meetings. Takes and transcribes notes, prepares draft of notes on word processor, and after editing by Operations Manager, finalizes same. Types letters, memoranda, reports, etc., from dictated, handwritten, or other sources, and assists in preparing agenda and related material for Staff Meetings.
Organizes and maintains files and records, answers telephone and directs calls to appropriate department.
Gemba board Dashboard monthly
Ensure the OHS File is updated and licenses are up to date
Weekly submission of Inbound spreadsheet
Oversee the administration and fleet department
Communicate with the different service providers for quotations
Submitting of Monthly reports to Warehouse Manager
Submitting of Death claims and Dismissal claims
Manage the health and safety processes, and procedures put in place.
Ensure the daily housekeeping checklist for health and safety is handed in
Carry out daily walks through the warehouse ensuring housekeeping is up to standards.
responsible for Health and Safety administration as well all site audits, fire drills and first aid training and supplies.
