Debtors & Creditors and receptionist

Our client is looking for an Administration clerk with dynamic outgoing personality, friendly and professional for front of house reception is required for our distribution outlet in Paarden Eiland. Responsible to assist our administration department with processing and to perform general office administration and reception.

DUTIES & RESPONSIBILITIES, NOT LIMITED TO:

Creditors Administration (Assisting)

* Processing and capturing of creditor invoices on the relevant accounting system.
* Monthly reconciliation of creditor statements against the creditors' ledgers.
* Verify and follow up on invoices, statements and payments.
* Reconciling Intercompany Accounts.
* Filing of the relevant paperwork.

Debtors management

* Processing of daily reseller orders received online or placed via email.
* Liaising with logistic department for delivery/collections thereof.
* Attending to monthly age analysis and statements of Resellers.
* Track all communication with debtors and provide feedback to the FM on outstanding payments, expected payment dates, reasons for long outstanding debts, etc.
* Ensure accurate and complete invoicing and correct allocation of payments received.
* Ensure that the necessary approvals are obtained prior to crediting invoices.
* Send out the invoices and credit notes to the clients via e-mail.
* Submit statements monthly as per the client's requirements if applicable.
* Communicate any problems with debtors to the FM.
* Do daily filing of the invoices/credit notes.
* Do the monthly Sales reconciliations with the various sales departments.
* Creating Sales Order (Quotes)
* Daily processing on CRMS (Customer Relationship Management System) and warranty related tickets logged

Reception/office administration

* Assisting with walk-in customers

To Market and Represent the Company and Products inside and outside of the Showroom.

To market the Company and Products in the Showroom.

To close sales and attain the regional monthly budget set.

To follow up on Customers and after sales service.

To help maintain the Showroom.

* General Receptionist responsibilities:

Passing on messages by email and keeping a record of all calls and messages.

* Seeing to all the office administration matters: typing, faxing, phoning, filing, spread sheets, reports, minute taking.
* All general office administration matters including the monitoring of general (not stock) resources required for the proper running of the store.

REQUIREMENTS:

* Grade 12 or equivalent certificate essential.
* Minimum 2 years' experience in debtors and creditors reconciliations and accounts.
* Minimum 2 years' working experience on a well-known accounting package (SAGE Evolution will be highly advantageous).
* Sound knowledge of general ledger accounting and allocations.
* Proficient skills in Microsoft applications, especially Word and Excel.
