RESPONSIBILITIES

Purpose:

Branch Manager making sure that Head Office and Branches are H&S compliant and that we follow H&S rules and regulations as per act and travel to Branches to oversee H&S targets are met and maintained at all times and to manage the specific Branch traveling to as per standards expected, policies and procedures.

 

Branch Operations:

  • Traveling will be required as the need arises to Branches:
  • Come up with innovative, cost effective ideas to decrease theft at the Branch - Follow up on feedback from Yard Controller with regards to any incidents, risks or occurrences that threatening the security of the Branch. Make sure all vehicles are locked and secure
  • When traveling to branches – manage staff and operations effectively by following company policies and procedures at all times
  • Ensure that the Branch is operating on a standard which aligns with Occupational Health and Safety regulations. (Neat and hazards free and that employees wear the necessary Health and Safety gear when performing their duties)
  • Perform monthly stock take to ensure that this is correctly completed monthly and abnormalities immediately reported to your Line Manager. Also to ensure that the branch has capacity for storage and ensure that vehicles TAT are kept at a low
  • Manage the Yard Controller’s sheets and ensure the forklift checklists are completed and the forklifts are well maintained according to Health and Safety standards
  • Manage daily work in progress sheets for General Workers, Cleaners and Forklift Drivers
  • Manage that all the Assessors on site is assisted in a timeous & courteous manner
  • Ensure that all driveable vehicles are driven to the bay allocation
  • Manage all keys received at the Branch and do monthly stock take on keys
  • Manage all Branch Losses / Sale cancellations and investigations
  • Manage the maintenance and fuel usage of all Branch Forklifts
  • Manage the daily monitoring and upkeep of the full process on 360 Standard Operation Procedure
  • Manage the process of the back-up Generator on site / maintenance, fuel and battery
  • Managing of the starting ration process to ensure all vehicles with keys are started when they arrive on site and tested again before selling vehicles
  • Manage the process of day 1 coding and Code changes
  • Manage all spare keys received and check that all updates on the system have been done/ manage all keys testing vehicles
  • Manage the daily updates on all outstanding M & M Codes and correcting wrong M&M codes
  • Effectively manage Head Office, other Branches or Customer queries
  • Manage all costs effectively
  • Working daily on your Branch dashboard

 

Stock Administration:

  • Manage and ensure all vehicles that arrived at the branch are stocked in within a half an hour of arriving on site
  • Manage all outstanding daily tows and managing the 48hrs lists
  • Daily vehicle checklist signs off
  • Oversee physical movement of vehicles under IWHM's
  • Oversee and manage the process of all vehicles received without keys / delegate the task thereof
  • Assisting where necessary of stocking in vehicles on the Access System
  • Manage all VIN queries from Insurance Companies and Head Office
  • Responsible for all Bond/Assessment and Sales Releases from site on the Access system together with the release checklist and upload and storage of all Release Photos
  • Manage the Daily responsibility for stock and contract amendments including filing
  • Manage the updates daily for all new and amended bay allocations
  • Establish and maintain healthy relationships with SMD suppliers and license departments who provide a service to SMD
  • Assist and resolve queries from SMD suppliers on a daily basis within 48 hours of receipt

 

Sales – Branch Auctions / Daily online sales:

  • Responsible to accept pricing on all ready for sale vehicles
  • Manage ready for sale vehicles daily for online sales
  • Auction preparations
  • Responsible for the unpaid invoices process
  • Process SAA Consignment Stock vehicles
  • Ensuring that all Registration documents for vehicles are accounted for, recorded on Access / Handle all Core Tasks from other Branches and dispatch Reg Doc's accordingly. Calling clients to collect Reg Docs. Completing a stocktake once a month on Reg Docs
  • Parts to be removed and Potential Buybacks to be followed up daily
  • Responsible for all FIC Reporting (STR - KYC)
  • Assist where required and requested to do so by management (This includes all reasonable requests as made by management)

 

Health and Safety

Compile reports

  • Assist relevant dealership financial manager with Credit 360 reporting

 

OHSact & Fire Control

  • Ensure that all relevant appointments are made and placed on file and appointees aware of their responsibilities
  • Good housekeeping (isles clear, fire equipment unobstructed, safe stacking, hygiene, emergency exit doors)
  • Symbolic safety signs in place (fire equipment, emergency escape, first aid etc)
  • Demarcated smoking areas
  • Ensure that all Forklift Drivers have Forklift Licenses and also that the Forklift machines are maintained and comply with the H&S regulations at all times

  • Ensure that employees who work at the branches have all the necessary H&S gear when working with vehicles and operating the forklift
  • Set up quarterly meetings with H&S team and report back on all IOD’s reported and evacuation drill planning
  • Update monthly IOD reports and send through to management
  • All machinery safely guarded
  • All safety registers and inspections completed in time every month and all available
  • Lifting equipment tested and inspected as per requirement
  • Fire equipment numbered and serviced annually
  • Fire fighters and first aiders available and trained
  • Fire extinguishers available as per NBRA (SANS 0400) - 1 every 100sqm
  • Fire hose reels available as per NBRA (SANS 0400) - 1 every 500sqm
  • Storage of flammable liquids/gas registered with local fire department
  • Assist branches and Head Office with completion of Audit Questionnaires
  • Assist branches and Head Office with OHSact
  • Do branch and Head Office risk assessments Standards
  • Assist in investigation of OHSact related accidents
  • Check for Hazardous Substances
  • Attend three monthly safety meetings
  • Advise management of training requirements
  • Spill Management Awareness

 

Business Continuity Plans

  • Check and assist dealerships with updating BCP plans
  • Check BCP plans on site visits
  • Emergency evacuation procedures available/displayed/communicated/understood
  • Arrange and assist yearly evacuation drills

 

Incidents / Accidents

  • Investigate and complete correct documentation for dealer accidents and staff injuries on duty
  • Make suggestions for corrective / preventative measures
  • Review report and reconcile report with actual incidents

 

Security

  • Assist Dealers with all security related queries & Security Job Descriptions
  • Be familiar with each dealership security arrangements and gate pass / exit procedures

 

 


Required Skills
