One of our clients, a leading global manufacturer, is looking for an Accounts & Logistics Clerk to join their team in Maitland.

They are looking for a conscientious, dynamic and self-motivated individual to provide sound proof knowledge in the team.



Ensuring each service report is captured correctly on inventory system from sales order, through to final customer tax invoice stage attaching all supporting documents to the invoices being generated.

Emailing proforma invoices to customers requesting order numbers and ensuring all queries leading to delayed payments and order number issues are dealt with promptly.

Pulling of stock from the storeroom to fulfil spare parts orders to be issued from the CPT office.

Deliveries and Collections:

Liaising with freight agents to arrange collections of goods from customer premises, deliveries of goods to customer premises as well as general inter branch stock and other merchandise transfers

Maintaining contact with international freight agents to ensure prompt and accurate customs clearance or preclearance of international import shipments as well as arranging for delivery to correct end destination for each import order.

Accounts Receivable:

Responsible for weekly debtor follow ups with customers outstanding for longer than 60 days.

Capturing notes in Xero accounting recording all correspondence with customers regarding outstanding invoices and order numbers.

Liaising with responsible internal staff to ensure any customer queries resulting in delayed payments are cleared up promptly and debts subsequently settled within negotiated time limits.

Data capturing:

Updating import order control sheets with each new parts order issued to overseas suppliers.

Ensure any customer changes in contact details or legal information is captured in the customers profile.


Regular file maintenance and archiving as open files are closed off.

Ensuring 5 years of invoice and import history is available in archive at any point in time for audit purposes.

Exchanges, warranties and samples:

Maintain records of all warranty parts returned, exchange units received from customers and apply appropriate exchange discounts once goods are received from the customer.

Ensure all exchange discounts are properly applied to purchase invoices from suppliers where goods are ordered on exchange.


Candidate Requirements

Minimum Requirements:

  • Must have a Grade 12
  • Certificate or Diploma in the Accounting/logistics field will be to you advantage
  • Minimum of 1 – 2 years’ experience a similar position will be to your advantage
  • Computer Literacy (Microsoft Packages)

Required Competencies:

  • Must be detail orientated
  • Deadline driven
  • Good planning and organising skills
  • Must have strong methodical and analytical skills
  • Must have excellent interpersonal and communication skills
  • Work well under pressure
