To ensure the Facilities Management unit is managed in an efficient and professional way resulting in efficient & cost effective operational delivery.
It will be required of the incumbent within the position to collaborate with all role players within the business as well & liaise with service providers to provide a cost effective efficient solution to all facilities related queries & complaints

Minimum Requirements...


  • 2/3 years’ experience as an administrator
  • Strong computer skills (MS Word; MS Excel; Outlook; Boardroom booking system; etc.)
  • Basic Procurement /facilties background
  • Stock / Quality control

Job Specification...



  • Capture and record all administration requirements for the Facilities team that do not have access to a Computer
  • All procurement functions for the Facilities Management Unit (Request quotes, benchmark for cost effective / quality assurance / optimal delivery times options, process requisitions, manage payments to suppliers)
  • Control the operating costs within Facilities unit (Cost Containment) (Sourcing most cost effective solutions)
  • Management of the cleaning teams stock and equipment
  • All facilities units administration of E-Payroll services
  • Processing of all leave application and administration of all attendance
  • Manage the facilities  Storeroom and the stock thereof
  • Capturing of all maintenance job cards and consumable delivery notes
  • All key control functions for the business
  • Welcomes on-site visitors, determines nature of business and announces visitors. 
  • Answering telephone calls  
  • Maintains communication by following policies and procedures; reports any changes to the policies and procedures, as needed.
  • Maintains office equipment by troubleshooting malfunctions; calling for and expeditingrepairs. 
  • Keeps office equipment operating by following operating instructions and established procedures; troubleshooting breakdowns; maintaining equipment supplies; performing preventive maintenance; calling for repairs.
  • Oversee and ensure that office supply inventory is executed and Assists with other-related administrative duties such as typing, photocopying, faxing, filing and collating.
  • Resolves problems related to issues (i.e., conference room conflicts, visitors, facilities, etc.) that may involve a high-level of complexity in order to provide good customer service.
  • Performs back-up assistance administrative assistant personnel to procurement operations.
  • Receives, sorts and routes incoming mail to the appropriate personnel.
  • Maintains employee and department directories and provides to internal personnel to ensure transparency of all new and terminated personnel.
  • Maintains customer confidence and protects organization operations by keeping information confidential; cautioning others regarding potential breaches.
