Position title: Property Manager

Position Reports to: Portfolio Director

To oversee the duties of: Operations Manager; Lease Administrator, Debtors Administrator; Reception/Admin

PROCESS

Team Leadership:

* Maintain staff structure - fill vacancies timeously
* Performance Management
* Training and development
* Corporate culture change
* Work unit climate

Marketing & liaison:

* Oversee Development, implementation and the upkeep the corporate mall identity - ensure adherences to corporate brand guidelines
* Oversee reparation and development of marketing and annual event plans/calendar
* Responsible for community public relations
* Market research
* Liaison with key stakeholders
* Develop and maintain a long term beneficial relationship with all existing tenants, associations and Retail Groups to ensure continued and future business
* Ensure smooth and positive relationship with the tenants, suppliers and contractors
* Resolves complaints and demands of tenants and work to remove the causes of the complaint and respond to their requests within the legal and contractual obligations

Business Plan / Maximize Net Returns:

* Develop and implement a structured business plan for the mall covering all key components of mall operation
* Monitor and report tenant sales performance, market competitor activities and provide relevant reports and information to management

Marketing of space & renewals:

* Oversee and assist with Development of sales and leasing plans in conjunction with the leasing team to identify new clients and negotiate with prospective tenants to maximize income in line with the business plan
* Oversee and manage the leasing process
* Ensure that renewals are completed within determined timeframes as per client requirements
* Negotiation of leases both new and renewals across all categories including: Anchors, line units, F&B and leisure

Optimize tenant mixes and rental collections:



* Ensure proper tenant mix in line with business strategy and market demand and to achieve desired footfall
* Follow up on the collection of monies owed from tenants and implementation of contractual terms

Risk control & Maintenance:

* Ensure that management implements day-today risk control within the center /portfolio
* Implement controls and programs for overall adherence to relevant legislation, including Occupational Health & Safety Act
* Develop, implement and maintain approved procedures and systems across all mall functions to ensure smooth co-ordination / co-operation among various internal departments to facilitate business needs and deliver positive customer and tenant experiences
* Oversee preparation of plans and schedules for regular and periodic maintenance in conjunction with relevant department heads and follow up on quality and execution
* Oversee and manage the property maintenance (Hard & Soft FM services) together with the relevant technical teams

Budget & Financial management:

* To prepare, review and adjust financial budgets, systems and processes and monitor performance against budget
* Ongoing reporting and monitoring of key budget aspects with the Finance team
* Oversee and ensure the timeous submission of the monthly management report packs to the asset manager
