Main purpose / objective of the position:

This role forms a critical part of the day to day functioning of a Centre; The connection and

relationship between this role and the team leader are an important part of the successful

management of a Centre; The implementation of tasks and understanding of this role will be

critical and would include, fully understanding each component of the Centre being managed in

terms of mechanical, maintenance, tenant installations, preparation and management of an

annual budget, inspections, management of Service Providers and Contractors, day to day

activities within the Centre, dealing with customers/shoppers to the Centre, and overall

understanding of how all these aspects fit into each other in order for a Centre to be managed

successfully .

Experience / Education :

A minimum of 3 years' experience in Facilities / Operations Management

Minimum qualification Grade 12.

Electrical, Mechanical or Construction background and Technical skills would be a

recommendation.

Skills required:

Awareness and understanding of tasks in chronological order, to be able to implement and

conclude these tasks successfully, Rational sense to assess a situation, Ability to manage Service

Providers vs. the Service Level Agreement entered into, during moments of crisis being able to coordinate

and manage the situation, Capability to write correspondence to tenants (if required on

Word or Email), Ability to prepare monthly reporting on Excel

Assertive, Proud of the work delivered, being prepared to walk the extra mile

*Tasks -Daily tasks

 Check registers of cleaning & security on daily basis - sign off and report in writing

immediately if not complying

 Check and sign off OB Book on a daily basis

 Daily walk-around inspection in morning and before leaving at night

 Daily inspection of the all the service passages - suggest a formal format - to be done by

Site supervisor and signed off by Operations Manager

 Generate purchase orders, once Approval Form has been approved

 Keep all signed off Approval Forms - very important for auditing purposes

 Sign off GRN once work has been completed

 Do regular inspections to tenants storage areas to ensure that stacking levels are in order

- inspection to form part of reporting in operations manager' report for management pack

 Manage expenses as per the approved budget - no deviations unless approved

 Ensure that all contractors that work on site have signed in at the Security Control room

Be in control of the site

*Weekly Tasks

 Generator Test

 Sprinkler Pump Test

 Panic Button Test

 Fire Panel Test

*Monthly tasks

 Monthly meetings with all service providers - to be minuted - copy to be given to the

service provider, as prescribed in the SLA Agreements

 Once a month - night inspection

 Update of Assessment reports

 Reporting as prescribed by the landlord on status of building including OHS ACT related

items

 Arrange once a monthly meeting with SAP, maintain relationship

 Vacancy Inspections

*Quarterly tasks

 OHS Act tenant meetings

 OHS Building inspections

*Additional tasks

 Comprehensive list of all contractors used + emergency numbers

 Work according to the emergency plan

 Manage and ensure that updates of CCTV footage are done if and when a

 Obtain 1st Aid training

 Manage budget expenses vs. actual expenses - determine and plan items per month as

per the approved budget

 Manage proposed projects per annum as per the approved budget

 Ensure all contractors on site adhere to OSH ACT Regulations when working in the

common areas

 Manage Tenant Installations in terms of OSH ACT Regulations even if tenant is conducting

the Tenant installation

 Arrange for Gutter inspections

 Emergency Evacuation Simulation

 Take on and take back inspections if and when required

 Assist with tender information when required.
