PRIMARY PURPOSE OF THE POSITION

Oversee the entire Distribution Administration Team, ensuring that all procedures, policies, and operational processes are consistently adhered to.        

KEY FUNCTIONS AND RESPONSIBILITIES

• Lead and Manage the Administration Office Employees.
• Ensuring all Purchase Orders are completed and outstanding invoices actioned.
• Communicate all work-related instructions and changes to Administration Office employees.
• Verify all documentation for completeness, accuracy, and correct sequencing.
• Ensure that all second checks on trip sheets and POD`S are done after deliveries.
• Oversee and maintain a smooth document flow, including signed documents from the warehouse and other essential paperwork.
• Capture leave on SAGE approved by the Department Manager.
• Collaborate with the Remuneration team to ensure accurate daily clocking’s.
• Receive and manage stock returns from clients and ensure timely processing of returned stock.                
• Assist and supply all relevant documentation during Internal Audits.
• Ensure strict adherence to company policies, procedures, and safety standards while promoting and maintaining high levels of productivity.
• Uphold health and safety requirements as set by company standards, and Auditing criteria, prioritizing a safe work environment for staff and the product.
• Undertake additional ad hoc tasks as requested by management to support departmental needs.

     MINIMUM QUALIFICATION AND EXPERIENCE                                                                    

• Grade 12 (NQF4).
• Minimum of Five (5) years of working experience in a Distribution environment on a Supervisory Level.
• Experience in the Cold Chain Distribution environment will be an advantage.
• Computer literate (proficient in Microsoft Word, Excel and Outlook).
• Willingness to work overtime and after hours, weekends and Public Holidays when/if required.
• Namibian citizen.
