Purpose of the job

The Receptionist is the first point of contact for clients, visitors, and employees, responsible for providing a professional, welcoming, and efficient service. This role involves managing incoming calls, greeting visitors, scheduling appointments, and performing general administrative tasks to support the smooth operation of the front office. The Receptionist plays a key role in maintaining a positive first impression of the organisation.

Output 1: Reception Duties

  • To receive Members/Visitors and call the respective staff member/s to collect their guest/s if a meeting is taking place on any other floor than the Ground floor.
  • To direct the Members/Visitors to the meeting venues on the Ground floor.
  • To refer Members/Visitors to the correct department or staff member to handle their queries, and to call the respective department to send someone to meet with the Member/Visitor.
  • To receive and sign for deliveries made to reception and to call/e-mail respective staff members to collect their deliveries as soon as possible
  • To call the respective staff member to meet with any external caterers and to direct them to the set-up area for any event.
  • To admit Institute Members to the Member Lounge and perform the hospitality function by pointing out the coffee/tea station as well as restrooms. 
  • Offering administrative support across the organization. 
  • Welcome guests and greet people who visit the business.
  • Coordinate front-desk activities.
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

Output 2: Administration

  • To send and receive e-mail communications as may be required by the various Facilities Management Services portfolio managers.
  • To occasionally look up availability of meeting rooms that have not been scheduled as per the booking schedule in the previous week – on specific request from the Banqueting and Service Delivery Manager.
  • To request the cleaning staff and/or Catering Assistants to collect the free delivery to distribute evenly on each floor as required.
  • To ensure that the reception desk and area is clean, uncluttered and presentable, and when necessary to call upon the cleaning staff to attend to cleaning up and tidying the reception area..

Output 3: General

  • To have a good knowledge of the functions within the Institute, as well as issues such as repositioning within the Institute (staff moves, organizational/departmental changes) in order to assist Members/Visitors and staff with information as require
  • Answering screening and forwarding incoming phone calls.

Output 4: Customer Service

  • To treat Members/Visitors to the Institute with a professional approach.
  • To be service orientated in dealings with Members/Visitors.
  • To have sufficient knowledge of the departments within the Institute to correctly refer Members/Visitors to the relevant department/employees to assist them with their queries..

Output 5: Embrace And Drive Organisational Transformation

  • Actively contribute to cost containment efforts by identifying opportunities for operational efficiencies, optimising resources, and ensuring value-driven decision-making in daily activities
  • Support SAICA’s transformation into an insights-driven organisation by leveraging data and analytics to enhance decision-making, improve processes, and drive continuous improvement in your area of work.
  • Effectively utilise digital tools and technology to enhance productivity, streamline workflows, and improve service delivery. Stay informed about new and emerging technologies relevant to your role.
  • Adopt and embrace AI-driven tools and automation to enhance efficiency, accuracy, and effectiveness in job-related tasks, while continuously seeking opportunities to improve processes through innovative technology solutions
  • Identify and support SAICA’s management of risks related to sustainability, including environmental risks, regulatory changes and social risks and integrating them into business continuity and risk management plans

Candidate Requirements

Formal Education

  • Matric
  • Reception Certificate

Technical/Legal Certification

Knowledge and understanding of:

  • MS Word, Teams
  • Telephone etiquette
  • Customer orientated

Experience 

• Customer orientated

Experience 

  • Minimum of 2 years’ work experience as a Receptionist, Front     Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize task
  • Customer service attitude.
