· Capita SA is seeking a dedicated Receptionist to handle client-facing duties as well as general office management tasks. When our clients and candidates walk into our reception, we want them to find a friendly, smiling face and a helping hand. The ideal candidate has excellent communication and multitasking skills, a positive attitude and a strong work ethic.
Key Performance Areas
Duties and Responsibilities
o Operate telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments
o Greet persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations.
o File and maintain records.
o Transmit information or documents to customers, using computer and/or email communication
o Collect, sort, distribute, or prepare mail, messages, or courier deliveries.
o Provide information about establishment, such as location of departments or offices, employees within the organization, or services provided.
o Keep a current record of staff members' whereabouts and availability.
o Take orders for merchandise or materials and send them to the proper departments to be filled.
o Perform duties, such as taking care of plants, maintain reception area and or reporting faults to facilities
o Dealing with external suppliers as well as internal staff
o Advise Facilities department of new starters
o Understanding of Health and Safety
o Assist Recruitment department with adhoc general administrative functions
o Assist with office stationery orders and stock controls
