The COO  of this dinamic company seeks the service of a matured Personal Assistant who manage, document and report on all administrative tasks on his behalf!

Duties and Responsibilities:

  • Screen and direct phone calls and distribute correspondence.
  • Answering all incoming calls, taking clear and informative messages.
  • Extensive managing of dairy and daily planning. Arrange, confirm and, if needed, cancel meetings and appointments. Manage follow-ups and accommodate changes that needs to be made.
  • Keep track of all deadlines.
  • Prepare boardrooms and other meeting locations.
  • Preliminary drafting of correspondence on the Manager’s behalf / Respond accurately to internal and external information requests.
  • Must compile resources and documents needed for various meetings and appointments (e.g. agenda, source documents, presentations, etc.). Therefore, ensure that the manager is fully prepared for all meetings.
  • Compile reports and spreadsheets to assist with feedback to Exco and Board members.
  • Take minutes at meetings and submit the minutes for approval within agreed timeframe.
  • Manage all paperwork and filing duties / Devise and maintain office filling system.
  • Do all queries and research that needs to be done on a daily basis.
  • Sourcing and ordering stationery and office equipment.
  • Handle all confidential matters with discretion.
  • Organise the manager’s personal commitments.
  • Running errands on behalf of the COO.
  • Willing to receive and act upon requests from manager out of working hours.

Candidate Requirements


  • Grade 12 with Mathematics (not Math Literacy).
  • Fully bi-lingual (English and Afrikaans) NOT NEGOTIABLE
  • Valid driver’s license & vehicle
  • Knowledge of office management systems and procedures.
  • Have insight when completing tasks, be detail orientated and work accurately.
  • Have a strong individual inclination.
  • Professional interaction with individuals, whether communicating via telephone, e-mail or face-to-face.
  • Excellent skills in Microsoft’s Programs (Outlook, Word and Excel), as well as the internet and search engines.
  • Must be able to compile spreadsheets (with graphs) in Excel, as well as Power Point presentations.
  • Sufficient knowledge and experience in secretarial duties (agendas, minutes, reporting, etc.).
  • Excellent verbal and written communication skills.
  • Exceptional time management and organisational skills. Previous experience in project management will be advantageous.
  • Must be able to work under pressure and meet tight deadlines.
  • At least 4-5 years applicable experience within a professional,  corporate evironment.
  • Professional discretion.
  • Experience in the insurance industry will be advantageous.
