Job Description:
Are you ready to join a global leader in customer experience management? HGS is excited to announce the opening of our new site in Woodstock, Cape Town, South Africa, and we are looking for a dynamic Office Assistant to become part of our team. As an Office Assistant at HGS, you will play a vital role in ensuring the smooth and efficient operation of our office. You will be responsible for managing diaries, screening calls, greeting visitors, and organizing logistics for meetings. Your duties will also include handling correspondence, managing office supplies, and maintaining our filing system.
In addition to these tasks, you will assist with secretarial duties such as taking meeting minutes and managing notice boards. You will ensure that all meeting equipment is set up, refreshments are handled, and supplier relationships are maintained. This on-site position requires exceptional organizational skills, attention to detail, and the ability to multitask in a fast-paced environment. You will be crucial in maintaining HGS's professional image and supporting various departments as needed, contributing to the overall success of our new journey in South Africa.

What we are looking for:
Are you an organized, detail-oriented individual with a passion for administrative support? We are seeking someone with demonstrated experience in secretarial or administrative roles, who is proficient in the Microsoft Office Suite and excels in customer service. The ideal candidate will possess strong interpersonal skills, enabling them to build and maintain effective relationships with clients and suppliers.
You should have excellent oral and written communication skills, along with the ability to plan and organize effectively. High attention to detail and the ability to handle sensitive information with confidentiality are crucial. We are looking for a proactive problem-solver who can manage multiple tasks efficiently and escalate issues when necessary. Additionally, you should be comfortable supporting various departments with administrative tasks and have experience in managing office logistics.
Requirements:
- Minimum matric or equivalent NQF.
- Demonstrated experience in secretarial or administrative roles.
- Proficiency in Microsoft Office Suite.
- Preferably have your own transport
- Strong interpersonal skills and ability to build relationships.
