Lead the provisioning and administration of facilities management for multiple sites and contribute to policy formulation. The management of the contracted maintenance, security, and cleaning service providers, through their site supervisors, to ensure the delivery of service within agreed budgets. The maintenance and monitoring of procedures and records relating to the building’s fabric, mechanical and electrical maintenance. Maintaining and implementing the Centre’s ‘Planned Preventative Maintenance’ schedule. To ensure all Health, Safety and Environmental statutory obligations and industry best practice procedures and systems are adhered to. To assist in the preparation and maintenance of the Operational R&M budget and capital expenditure budgets.

- Responsible for the planning, development, and implementation of property operations
- To oversee the building’s service providers and third-party contractors.
- To assist in the compilation and maintenance of the building’s ‘asset register’.
- To maintain the building’s ‘Shop Fitting Guide/ Tenant Criteria Document’ and to assist Leasing department in monitoring tenant store fit outs.
- To ensure that utility (Energy/water) consumption and costs are effectively and efficiently managed.
- To prepare and deliver monthly operational, capital expenditure & sustainability and reports as required.
- Assumes responsibility for the effective facilities management of the building.
- Responds to emergency call-outs within the parameters set out in the buildings’ operations manual.Day to day running and control of the building with regards to Security, HVAC, Cleaning, Electrical, Plumbing etc
- Compiles operational budgets and control R & M expenditure.
- Management of annual accrual process related to facilities management invoices.
- Calculates tenant recoverable costs for charge out to the tenants.
- Coordinates maintenance activities. Ensures that the building is clean, well maintained, and in good state of repairs. Directs preventive maintenance procedures as appropriate
- To develop and implement a 5-year maintenance plan that includes life cycle analysis
- To ensure that all plant and machinery is being effectively and efficiently maintained by third party contractors in accordance with the maintenance schedules and that all records are accurately maintained.
- To assist in the maintenance of the building’s emergency planning and business continuity plan, reviewing and updating as necessary to ensure optimum effectiveness.
- To ensure that all building’s accident and incident are reported and documented, including insurance and statutory forms and procedures are correctly completed and adhered to.
- To ensure that all the building’s insurer’s requirements are complied with.
- Any other duties reasonably requested by the Property/General Manager.
- Liaises with tenants with regards to operational problems.
- Timeously respond and follow up on tenants & customer complaints.
- Authorises invoices for payments.
- Compiles scope of work for the procurement of services for operational and capital expenditure projects.
- Conducts periodic inspections of facilities, assesses problems and needs, and implements improvements in operations as appropriate
Candidate Requirements
Requirements:
- Bachelor's Degree or Equivalent Level Minimum Qualification Grade 12 Any recognised tertiary qualification, preferably related to facilities management or technical services. Ideal Degree or Diploma in facilities management or any other building-related discipline with five years experience
- 3 years to 6 years relevant experience.
- At least two or more years of supervisory experience
- Ideally some knowledge of large buildings/structures and their associated mechanical and electrical services, fire systems.
- Experience in the management of contractors, contract procurement and service level agreements.
- Ideally a recognised health and safety qualification with experience in an H&S focused environment with responsibility for managing H&S.
- Good administrative and IT skills (Word, Excel and PowerPoint).
- Good numeracy skills with experience of setting and managing budgets, meeting deadlines and working within financial limits
