Duties:
- Rosters and overtime:
- Work out monthly work rosters
- Update any scheduled changes
- Process Leave Forms through HR
- Ensure shifts are covered
- Keep the overtime list up to date
- Send overtime list to accounts on the 22nd of each month for processing
- Control Room Training:
- Maintain and update the Control Room SOP and ensure that all Controllers are trained to the same standards and procedures
- Do spot tests with all controllers to ensure that they understand Listener functions
- Listener maintenance:
- Go through emails to update Listener on changes to client profiles
- Ensure the Supervisors have loaded all the temporary and holiday instructions, as well as schedules, correctly
- Regularly go through the list of scheduled patrols and change all patrol times to new times
- Quality Control:
- Dress code
- Ensure the SOP’s are up to date
- Do spot checks on feedback recorded
- Spot checks on calls and ensure the Control Room Operators are following the correct telephone etiquette
- Ensure proper radio etiquette is followed
- Ensure the CCTV Department is aware of faults with cameras and follow up on outstanding faults from the previous day
- Monitor footage of control room cameras to ensure the control room operators follow the SOP’s
- Hold a monthly meeting with the control room and response Supervisors and Management to ensure everyone is on the same page, and there is a platform available for staff to bring issues to management’s attention
- Check that WhatsApp posts and incident reports are done accurately by the Control Room Operators
- Interviews & on-boarding:
- Interviewing and appointing control room staff in conjunction with HR
- Ensure proper on-boarding procedures are followed
- In case candidates are not registered at PSIRA, you are to assist with PSIRA registration
- Ensure all HR matters relating to appointment, training & PSIRA registration are done in conjunction and consultation with HR
- Office equipment:
- Manage any equipment faults reported
- Assist in getting the problem solved in good time
- Stationery:
- Monthly ordering of stationary
- First Aid Kit:
- Once a month the control room first aid kit needs to be inspected.
- Check the register with the first aid kit that everyone that used something in the kit signed it out properly and the items were replaced

Requirements:
- Must be PSIRA registered
- Must be computer Literate, and proficient in all Microsoft programs
- Strong organization skills
- Comprehensive Alarm product knowledge advantageous
- Excellent communication skills (Verbal & Written)
- Strong training skills and HR background advantageous
- Team player
- Able to work under pressure
- Ability to liaise with clients and sustain excellent customer relations
- Effective time management skills
- Be available to assist when needed for night shift training
