- Manage the day to day running of the operations department to ensure optimal productivity and efficiency
- Ensure that all operational staff, such as site supervisors, operations controllers, operations managers and site managers are aware of their allocated sites and responsibilities
- Responsible for recruiting suitably qualified staff for Operations, in line with the Company's Recruitment and Appointment policies
- Ensure that timesheets are submitted according to specified standards and deadlines
- Ensure that invoices are delivered timeously and PODs are in order
- Ensure effective management of protective clothing orders, IOD's, AOD's, timesheets, invoicing, pay-outs and customer service to all current clients
- Responsible for checking and authorizing protective clothing orders and petrol consumption, etc.
- Monitor to ensure that company vehicles are not used for the delivery of invoices, timesheets, etc.
- Hold regular meetings with the Branch Manager to discuss operations performance
- Responsible for the performance management and discipline of Operations staff using Company Disciplinary Code and Policy
- Responsible for ensuring that regular performance appraisals are conducted with direct reports
- Responsible for providing IR Support as and when required
- Deal with all disciplinary transgressions and / or responsible to conduct hearings as Chairperson or Company representative
- Assist in strikes/unprotected strikes with the necessary knowledge and in conjunction with the IR department and regional operations
- Ensure all company policies, procedures, and practices are effectively maintained and adhered to by branch operations staff
- Ensure that all ISO practices are adhered to
- Ensure the integrity of all documentation, contracts, supporting documents and information loaded onto our systems and ensure that all of the aforementioned are valid and 100% correct
- Ensure that the overall objectives of the Organisation are prioritised in respect of the provision of operations services
- Support the Company's objectives in respect of ETI
- Conduct daily ETI audits on non-compliant assignees placed and ensure reason provided is valid, take appropriate action to rectify
- Deliver exceptional customer service to clients and in so doing achieve organic growth
- Conduct personal visits to all clients and maintain regular contact to assess how sales and operations staff are servicing the contract
- Monitor, follow up and ensure resolution to all client queries
- Submit required reports timeously and accurately
- Provide assistance in respect of recruitment, as and when required
- Assist sales staff and the operations managers in recruiting contract staff for clients
- Keep abreast of developments in respect of labour related legislation, bargaining councils and regulations
- Attend training sessions as and when required
Candidate Requirements
- Matric or a relevant tertiary qualification
- A minimum of 3 years of experience in operations and sales within the Temporary Employment Services (TES) Industry
- Good knowledge of the Labour Relations Act (LRA), the Temporary Employment Services (TES) industry, the Basic Conditions of Employment Act, Bargaining Councils and Sectoral Determinations
- Previous IR (Industrial Relations) experience and good knowledge of IR (Industrial Relations) Procedures
- Excellent Communication skills (Both written and verbal)
- Good grasp of mathematical concepts
- Computer literate (MS Office)
- Valid driver’s license with own reliable vehicle essential
