Job Summary:
The Office Administrator plays a pivotal role in ensuring the smooth and efficient operation of our office environment. This position encompasses a wide range of administrative duties, including managing office supplies, coordinating meetings and events, handling correspondence, and providing general support to staff members. The ideal candidate will possess strong organizational skills, impeccable attention to detail, and the ability to multitask effectively in a fast-paced environment.
Key Responsibilities:
Office Management:
- Maintain a clean, organized, and welcoming office environment.
- Monitor and replenish office supplies, equipment, and inventory as needed.
- Coordinate with vendors and service providers to ensure timely maintenance and repairs.
Administrative Support:
- Assist with the preparation and distribution of correspondence, memos, and reports.
- Manage incoming and outgoing mail, packages, and deliveries.
- Handle inquiries and requests from employees and external stakeholders professionally and promptly.
Calendar Management:
- Schedule and coordinate meetings, appointments, and conference calls for team members.
- Prepare meeting agendas, documents, and presentations as required.
- Ensure meeting rooms are properly set up and equipped for scheduled meetings.
Travel Coordination:
- Arrange travel itineraries, accommodations, and transportation for employees.
- Process travel expenses and reimbursements in a timely manner.
Event Planning:
- Assist in the planning and execution of company events, such as team meetings, workshops, and social gatherings.
- Coordinate event logistics, including venue selection, catering, and audiovisual requirements.
Financial Administration:
- Maintain accurate and up-to-date records, files, and databases.
- Assist in the preparation of financial documents, invoices, and expense reports.
Candidate Requirements
Qualifications:
- Proven experience as an Office Administrator, Office Assistant, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Ability to prioritize tasks and manage multiple deadlines.
- Attention to detail and accuracy in all work.
- Discretion and confidentiality when handling sensitive information.
- Drivers License & Own Vehicle
