Payroll Administrator

- Full accountability for the accurate and timeous administration
of the permanent and temporary payroll and year-end IRP5 processing
and all statutory processing. This includes processing of new staff
members, terminations, salary increases etc.
- Completion of all Payroll related statutory returns e.g. PAYE,
IRP5, Workman's Compensation, Medical Aid, UIF etc. and monitor
rate changes
- Administration of other benefits (e.g. Medical Aid, Provident
Fund)
- Ensure that all Appointments & Terminations are processed
(Contracts / Spreadsheets)
- Month end processes including third party payments and
reconciliations and all HR related payments
- Process staff purchases
- Work closely in conjunction with Finance according to
established procedures to correct payroll expense errors or
discrepancies.
- Ensuring compliance for auditing purposes
- Advise employees on remuneration and assist with queries
relating to remuneration and benefits.
- Compilation of routine and ad-hoc reports as well as statutory
returns
- Produce Monthly Headcount report and any other reports as
deemed necessary by either Finance or Human Resources. This
includes skills development, employment equity, disciplinary
action, staff turnover, etc
- Maintenance of employee records and following up to ensure that
every employee file has all necessary documentation and their
details are also updated on the Payroll system. This includes
information relating to salaries, such as authorizations,
instructions and adjustments.
- Prepare monthly spreadsheets for Managers
- Temp documentation, contracts
- Leave processing and maintenance of all types of Leave Pay
records - recording absenteeism and compiling monthly reports
- Liaison with Medical and Provident providers and communication
of relevant information to members and new employees
- Ensure that Medical Aid forms are adequately completed and sent
to Medical Aid Administrators
- Ensure that Provident Fund forms are directed to Provident Fund
Administrators and that all employees are on the Provident
Fund
- Other ad hoc tasks as required
JOB COMPETENCIES (Knowledge, Skills and
Experience)
- Training on Pastel Payroll (Level 1 Pastel Payroll plus Tax
training are essential)
- 4 years or more Payroll Administration experience
- An in-depth knowledge of tax legislation and procedures related
thereto
- Working knowledge of other statutory provisions e.g. UIF,
Skills Development Levy etc.
- Excellent IT skills (especially Excel, Pastel Payroll)
- Excellent interpersonal skills
- The ability to work independently, pay attention to detail and
copy effectively under pressure
