Administrative duties -

  • Organising and maintaining diaries and making appointments
  • Screening phone calls, inquiries and requests
  • Dealing with incoming email and faxes
  • Dictation, drafting letters and organising meetings, Agenda & Minutes
  • Producing documents, briefing papers, reports and PowerPoint presentations
  • Liaising with clients, suppliers and staff
  • Handling of quotes and invoices until payment has taken place and forwarding POP
  • Filing
  • Control and updating storage inventory of 4 units off site
  • Control of budget and purchase of office groceries
  • Switchboard relief when required
  • Petty cash and recon

Travel - Local & International bookings/itineraries, flights & accommodation; voyager miles, visas, renewal of passports, car hire, quotes & invoices; entertainment slips and recon; maintaining travel logbook for 2 Directors

 Events / Exhibitions - Internal & external planning, organising, design & print of brochures, folders, posters; graphics and print of display stands; editorials and photos; corporate gifting; PowerPoint presentations

Marketing - Design of adverts for magazines & editorial; research

Website - Update e.g. news and change of the website

Insurance - All correspondence between insurance companies, staff and accounts; regular update of insurance and debit order schedule; claims, repairs & damages on commercial & private policies; quotes for new items to be added, renewals, electronic equipment & assessors; deletion of items; insuring of new vehicles; quarterly meeting with Director; query handling

Co. vehicles - Monthly vehicle reports in respect of mileage & problems; quotes & organising of trackers; design of inspection list for vehicle hand-over purposes; checking of renewal of licences for drivers & vehicles; checking for service dates and booking of vehicles; quotes regarding repairs, new tyres etc.; extending maintenance plans; organising PDP licences; all communication & queries regarding vehicles; arranging of tinted windows

E-Toll - Organising of e-tags; transfer of e-tags; monthly updates of a detailed transaction report; forwarding of invoices / statements; handling queries

Home Owners Association - Arranging of Directors and HOA meetings, Agenda & Minutes; correspondence with managing agent; forwarding of invoices from contractors and proof of payment; correspondence and queries from tenants

Private - Various items regarding the home, domestic and garden employees; repair issues to the complex, contractors, quotes & payments; petty cash pertaining to the home; purchasing online groceries when required; ordering of school books & stationery annually for domestic employee; arranging regular contractual work (pest control, lift servicing, dog parlour); arranging monthly medication delivery; claims for medical payments

Cleaning staff - management of cleaners; interviewing; regulating stock control sheets; approval of leave; purchasing of office wear

Boat - Arranging of the COF certificate annually; purchasing of list of items for the COF certificate; queries & correspondence regarding the repair or service of the boat
